Code of Conduct

By registering for Heritage International Xperiential School Model United Nations 2024 (hereafter referred to as “HIXSMUN”) you are deemed to have read and agreed to the following terms and conditions: 

 

Henceforth, Delegates, Faculty Advisors, International Press Corps members, and Liaison Officers will be collectively referred to as participants or in the first person (You/Yours) and HIXSMUN / conference staff will be a collective term used for the staff/authorised representatives of the conference, namely, members of the secretariat and organising committee, led by the Secretary-General and the President. Any use of the above terminology or other words in the singular, plural, capitalisation and/or he/she or they, are taken as interchangeable and therefore as referring to the same. 

 

DRESS CODE: 

All conference attendees must dress in Western Business Attire (WBA) while at HIXSMUN. As a general rule, WBA requires that conference attendees dress in a suit jacket, slacks (or skirts), dress shirt (with a tie) and dress shoes. Indian National Attire is also permitted only for the Dehradun Conference. Additionally, all conference attendees are required to visibly wear their conference badges at all times during the conference. HIXSMUN staff reserves the right to check the conference badges of any participant at any time, for any reason whatsoever. Participants that fail to adhere to the conference dress code, as mentioned above, may be excluded from the conference proceedings and events, at the discretion of the conference staff. 

 

CODE OF CONDUCT: 

  1. Conference attendees are expected to prepare adequately for active participation in committee sessions. 

  2. Conference attendees are expected to conduct themselves professionally throughout the duration of the conference. This includes, but is not limited to, representing the policies of the portfolio assigned to the participant, displaying respect for the ideas and opinions of fellow participants, and acting as a diplomat.

  3. Conference attendees found to be in violation of HIXSMUN’s Code of Conduct may be barred from further participation at HIXSMUN and/or expelled without refund at the discretion of the Secretariat. 

  4. Participants will be held responsible for any unruly behaviour/damage caused to the venue. Accessing prohibited areas of the venue, causing disruption , damaging school property, amongst other things, is strictly prohibited, and can result in expulsion without refund from the conference at the discretion of the secretariat. 

  5. Conference attendees are not permitted to invite guests to the conference venue without explicit permission from the Secretariat. 

  6. Conference attendees are not allowed to consume/possess any banned/illegal substances, including, but not limited to narcotics and alcohol. This includes, but is not limited to, drugs, cigarettes, alcohol, any substance remotely used in the preparation or consumption of these substances, electronic cigarettes/vape, lighters, etc. Any violations of this will result in conference attendees being barred from further participation at HIXSMUN and/or expelled without refund at the discretion of the secretariat.

  7. HIXSMUN 2024 reserves the right to check participants’ luggage at any time for any reason whatsoever. Failure to comply may result in expulsion without refund from the conference, at the discretion of the secretariat. 

 

POLICY AGAINST DISCRIMINATION AND HARASSMENT

 

HIXSMUN follows a zero tolerance policy against any instances of discrimination or harassment based on race, gender, sexual orientation, national origin, religion, age or disability. Furthermore, HIXSMUN will not tolerate any instances of inappropriate behavior or unwelcome advances of a sexual/threatening nature. If any conference attendee  believes they have encountered harassment or discrimination, which results in a hostile working environment or disparate treatment, they must bring it to the attention of the Secretary-General, Secretariat or other members of the Conference Staff. A special committee, created by the HIXSMUN staff, will investigate the merits of the allegation and interview all parties involved. Based on the findings, HIXSMUN may: 

  • Issue a verbal reprimand; 

  • Expel the offending conference attendee from HIXSMUN without refund; Bar the delegation of the offending individual from further participation at HIXSMUN; and/or,

  • Refer the case to appropriate authorities (internal/external) as deemed by the rules and regulations of HIXS and the laws of the land,

  • Take other actions as deemed appropriate or  necessary,

  • Take no action; 

 

Allegations, if proved to be false stemming from malicious intent  will follow similar processes and will attract consequences.

 

PLAGIARISM POLICY

 

Plagiarism will not be accepted at the conference. Conference attendees who violate this policy when delivering any written or presented work believed to be their own may be deemed ineligible to receive awards at the discretion of the Secretariat. All sources used should be cited as a footnote or an endnote, ideally following MLA or APA citation formats. 

The use of AI tools like ChatGPT while creating any written/presented work is strictly prohibited, and failure to comply may result in the conference attendee being deemed ineligible for awards and/or participation certificates at the discretion of the conference staff.

ELIGIBILITY FOR AWARDS

 

Although individual conference attendees will be eligible for individual awards and recognition, they are not eligible for school delegation awards. Conference attendees that miss more than 1 committee session will be deemed ineligible for awards, including a participation award. Special exemptions may be made at the discretion of the Secretariat. In the case of a medical sickness/other extenuating circumstances. 

 

EXCLUSION POLICY

 

The Secretary General and Secretariat reserves the right to expel any conference attendee, school delegation, or group thereof from the conference at any time for violating or failing to comply with the conference regulations. Expulsions take place immediately at the time they are issued. All conference materials (i.e placards, conference badges, etc.) must be surrendered to the conference staff upon expulsion. 

 

PHOTOGRAPHY AND VIDEO

 

HIXSMUN staff and representatives of the conference will be documenting the conference through photographs, interviews or recordings of images of delegates (both during and in between committee sessions) and will be used with or without certain personal information when reporting the event through the School’s magazine, website, select social and local media. By registering for and attending the conference, all participants consent to the use of photos, recordings, etc., in perpetuity and even after they have graduated from the School.
 

GOVERNING LAW AND JURISDICTION

 

All authoritative determinations of fact and interpretations of conference rules and policies are to be made by the Secretariat. 

 

These rules are in addition to those established by national, state, city and local laws, regulations and ordinances, including those of Haryana and Gurgaon, hosting and participating school’s policies, and common sense. Serious infractions will result in dismissal from the conference of those involved. The Secretary-General and Conference Staff reserve the right to issue additional rules or to alter existing rules at any time at their discretion. All authoritative determinations of fact and interpretations of conference rules and policies are to be made by the Secretary-General & Conference Staff.
